Organizations, workspaces, teams and roles

This guide is for studio managers, label admins and anyone running a team. In VYNLT:

• An organization is your company: a studio, a label or your own artist account. Its plan decides its features.
• A workspace is an area inside it, for example one per artist, client or writing camp. Projects live in workspaces.
• A role decides what each person can do, in the whole organization, a workspace or one project.

Studio and Label accounts can run more than one organization, and their plans include several workspaces and team seats.

Open your organization's settings

1. Open Settings → Organizations.
2. Choose the organization. Its tabs include Members, Ownership, Workspaces, Custom fields, Plan & billing, Roles, Review workflow, Codes & rights, Branding, Integrations and, for admins, Security Center, Sign-in policy and Sharing & downloads.

To make another organization, choose New organization, give it a name and choose Create.

Invite team members

1. On Members, choose Manage people.
2. Type their address into Invite by email, choose a Role, and if asked how they join under Joins as… (such as Studio staff or Label staff).
3. Choose Invite.

Team members get access to the whole organization at their role. To bring someone into just one project instead, see Invite collaborators to a project.

Roles

• Viewer: listen only.
• Commenter: listen and comment.
• Uploader: add versions and files.
• Editor: edit, download and share privately.
• Manager: approve, invite, share externally.
• Admin: everything except ownership.
• Owner: full control, including security, billing and deleting the organization.

Custom roles

On the Roles tab, choose New role. Start from a system role or Blank role, give it a Name and Description, and tick what it allows. Preview in this organization shows what someone with that role would see. Custom roles are part of the Studio and Label plans.

Workspaces

On Workspaces, choose New workspace, give it a name and a type (such as artist, producer, studio, writing camp or label) and choose Create. Workflow statuses sets the stages songs move through in that workspace.

Hand over ownership or offboard someone

• Ownership → Transfer ownership makes another member the owner.
• On Members, Offboard takes someone out of the organization when they leave.

Common problems

• "Studio and Label accounts can run several organizations." Your account type can own one. See Plans and features.
• I can't delete my account. If you are the only owner of an organization other people use, transfer ownership first.
• A team member sees too much. Lower their role, or move them to project-level access.
